Through 2008, the Wharton Council submitted new room webCafé requests on behalf of its member organizations. Currently we are out of touch with that group but will still accept room requests from its constituent clubs under the following guidelines:
- Student non-course rooms are intended for specific medium-to-large-size groups centered around a recognized activity. Not all requests can be fulfilled; webCafé is a limited resource that has to be kept available for courses. Consequently, it's necessary for Wharton Computing to work in partnership with the Wharton Undergraduate Division for selective fulfillment of non-course room requests.
- In order to use webCafé, users must be taking at least one current Wharton course or be working at the School in a teaching support function. As a result, webCafé may not be suitable for SAC-funded student organizations unless it is OK to limit webCafé access just to the club members who are currently taking Wharton classes or who assist in teaching current Wharton courses. This restriction is necessary under the license from EMC Corporation for the eRoom software on which webCafé is largely based. Groups affected by this restriction (because of non-Wharton students in key roles, etc.) may consult our advice on room membership guidelines for student organizations as well as alternatives to webCafé. In particular, Wharton Live Groups may be especially useful to undergraduate organizations.
- IMPORTANT NOTE: Clubs should discourage their non-Wharton members from visiting or writing the Wharton Computing Student Support office in search of accounts for webCafé. There is no account available from them for Penn students who are not taking/TAing Wharton courses and who just want to access webCafé. We're sure that you would appreciate the consultants' time being kept available for helping students with computing needs.
- A webCafé room is not a public Web site, but rather a private space for room members to share files, discuss activities, and work on projects. Some clubs may find webCafé to be more appropriate for use by officers for planning, rather than a resource for the general membership. Because there is no way to include all undergraduate students in a webCafé room's member list, webCafé unfortunately cannot be used for for signup sheets aimed at the student body in general.
To submit a request, please e-mail webcafe@wharton.upenn.edu (or submit a ticket at our home page's Help & Support area) with the following information:
- A brief description of your Wharton Council recognition status
- A title for use in the room name
- A suggested abbreviation (based on the title) for use in the room URL
- Short e-mail address (not lifelong e-mail address) of the students who will be responsible for coordinating the eRoom and providing membership to other students; this can be you as well as other the appropriate responsible officer(s).
If you can operate within all of the limitations described above, feel free to send the requested information so that the webCafé Team and the Wharton Undergraduate Division can review your request. There is not a standard turnaround time for club-initiated room requests.
