How can I request a webCafé room for a Wharton MBA student organization or conference?
An MBA student organization or conference at Wharton may request a webCafé room to facilitate group activities. Student non-course rooms are intended for specific medium-to-large-size groups centered around a recognized activity such as a WGA club, a school conference, or a student group sponsored by a Wharton department. Not all requests can be fulfilled; webCafé is a limited resource that has to be kept available for courses. Consequently, it's necessary for Wharton Computing to reserve the right to be selective about fulfillment of non-course requests. Every non-course request is reviewed by Wharton Computing on a case-by-case basis; in part because we verify information with WGA and/or MBA Program Office sources, there is not a standard turnaround time you should expect. In order to use webCafé, users must be taking at least one current Wharton course or be working at the School in a teaching support function. As a result, webCafé may not be suitable in cases where Wharton partners or other non-Wharton students are also active club members that would need to use the resource. This restriction is necessary under the license from EMC Documentum for the eRoom software on which webCafé is largely based; groups that may be affected by this restriction are free to consult our advice on room membership guidelines for student organizations as well as alternatives to webCafé in cases where the membership guidelines preclude use of this service. A webCafé room is not a public Web site, but rather a private space for room members to share files, discuss activities, and work on projects. Some clubs may find webCafé to be more appropriate for use by officers for planning, rather than a resource for the general membership. All communication of upcoming events should be done through the SPIKE Calendar, not through webCafé. If you choose "all current MBA students," we need a brief statement justifying why broad collaborative access is needed (unacceptable justifications include promoting an upcoming event, signups, "transparency" or avoiding spending time on member list maintenance). For promoting events we recommend using the submit an event link at the SPIKE Calendar (use of SPIKE Calendar is required for events in Wharton buildings).
IMPORTANT NOTE: by choosing "all current MBA students" you will add to the length of each MBA student's My eRooms page. They might not appreciate that! Also, if you choose "all current MBA students" you are limited to no more than 350 additional users among the faculty and other types of current students. There is no way to include all undergraduate students in a webCafé room.
