How can I make a folder or other item private so that only I or a select few can open it and the items it contains?
- Right-click on the folder's icon, then choose Access Control. (Or you can check off the item's checkbox and then click the access toolbar button. To expose checkboxes if they are not shown, click the commands button.) The Access Control screen will appear.
- Press the topmost of two "people" buttons (to the right of the "Open" field). The Access Control:Who Can Open screen will appear.
- Under "Coordinators, plus these members," check off the names of the users you wish to allow to open this folder. Important: Unless you are a coordinator of the room, be certain to check off your own name; otherwise, you may lock yourself out of the folder if you do not include yourself.
After completing your selections, press OK to return to the Access Control screen.
- If you would like to hide the folder from users who cannot open it, check the Hidden (only shown to members who can open it) checkbox.
- Press OK to close the Access Control screen.
This makes your folder private so that only the selected members can open it and receive e-mail about additions/changes to that folder.
A folder that is hidden will appear under "Your Hidden Items" in the parent folder (the one containing that restricted folder). Restricted folders that are not hidden will appear "grayed out" and un-clickable to members who do not have access to open the restricted folder.
Restricted and hidden settings aren't just for folders -- you may also do the above with any eRoom item (Note, Poll, etc.) for which you have edit rights.
